Bereits umgesetzte Lösungsansätze: - Nutzung einer gemeinsamen Outlook-Inbox für den Eingang und die Übernahme von Tendern. - Manuelle Sichtung und Auswertung der eingehenden Tender-Dokumente durch Mitarbeitende. - Erstellung benötigter Dokumente, insbesondere Packlisten in Excel mit zu transportierenden Teilen, Maßen und Gewichten. - Ermittlung benötigter Transportmittel und Größen im weiteren Bearbeitungsprozess. - Abfrage von Kosten und Verfügbarkeiten über Agenten-Netzwerke oder etablierte Partnernetzwerke, häufig per E-Mail. - Strukturierung der Bearbeitung in die vier Projektstufen Inbox, in Bearbeitung, Follow-up und Operations. Mögliche Lösungsansätze: - Pilotierung einer KI-gestützten Lösung zur Automatisierung und Beschleunigung des Tendermanagement-Prozesses. - Automatisierte Analyse eingehender Ausschreibungen und strukturierte Aufbereitung relevanter Informationen. - Nutzung historischer Projektdaten für datengetriebene Kostenvoranschläge auf Basis ähnlicher vergangener Projekte.

Must-have: - Automated analysis of incoming tender documents in Excel, Word, and PDF formats. - Extraction of relevant information such as goods, dimensions, weights, routes, and deadlines. - AI-supported creation of a structured target format based on a template, for example, a packing list in Excel format, using extracted tender data. - Support throughout the entire tender management process, from initial cost estimation to bids or requests for quotations (RfQs). - Use of historical project data and similar past shipments for bid formulation in new tenders. - Support for various languages, at least German and English. - The pilot project focuses on the core process from the receipt of a tender via email, through automated document analysis, to the creation of a structured packing list and an initial price indication.
